When you sign up to our mailing list, we only ask for your email address. You can unsubscribe at any time. We will only use your email to send updates about new content published by Care Learning and information on free courses when they become available. We will never share your information with third parties.

Your data will be securely stored on Claspo and Mailchimp, in accordance with GDPR regulations. We reserve the right to change these platforms in the future but Care Learning will always ensure GDPR compliance.

Please email info@carelearning.org.uk to unsubscribe and we remove your email address from all stored sources. You will also be provided with the option to unsubscribe in any emails sent to you from Care Learning.

Learner Data and Disclaimer

By enrolling in any course or creating a learner account on our WordPress site using LearnDash you acknowledge and agree to the following terms about how we collect, store, and process your data, and the responsibilities and risks associated with your use of the learning platform. We reserve the right to disable or restrict accounts of we suspect abuse or breach of terms and conditions.

a. What data we collect for learners

Account details: name, email address, username, and any profile information you choose to provide.
Course progress and activity: enrolment records, completed lessons/quizzes, scores, timestamps, certificates issued.
Communication records: messages or questions you post in course forums, comments, support tickets, and any correspondence with Care Learning staff.
Payment data: if you purchase a paid course, we store transactional records required for our records (note: full payment card details are not stored by us when a third-party payment processor is used).
Device & access data: IP address, browser type, and device metadata for security, support, and analytics.
Any other optional data you submit (assignments, uploaded files, profile photo, additional contact details).

b. Where learner data is stored and who processes it

Platform: Learner data is stored on our WordPress site and in the LearnDash plugin database tables hosted on our web hosting provider.
Third-party processors: We use one or more authorised data processors to provide hosting, backups, analytics, e-mail, payment processing, and learner-management services. Current processors may include (but are not limited to): our hosting provider, Claspo (where applicable), Mailchimp (for mailing lists), and the payment processor you use at checkout. We will inform you if we change processors.
Storage locations: Your data may be stored on servers located within the UK or other countries where our processors operate. Where data is transferred outside the UK/EEA, we will use appropriate safeguards (for example, standard contractual clauses) to ensure GDPR-compliant protections.

Purpose: to create and manage your learner account, deliver courses, record progress and assessment results, issue certificates, provide support, process payment and refunds, send course-related communications, and improve our services.
Lawful basis: processing is primarily based on your consent (e.g., account creation and course enrolment) and/or our legitimate interests (operating the learning platform, preventing fraud, and ensuring platform security). Where required (for payments or contractual services), processing is necessary to perform the contract between you and Care Learning.

d. Retention

We retain learner account data and course records for as long as you are an active user or for the retention period required for legal, regulatory, or tax purposes. If you request account deletion, we will remove or anonymise your personal data in line with the request and subject to any legal or operational retention obligations (for example, certificates issued or financial transaction records).
User account that have not enrolled on a course within 30 days of setting up an account will be removed.

e. Account security and user responsibilities

You are responsible for maintaining the confidentiality of your account credentials and for all activity that occurs under your account. Notify us immediately if you suspect unauthorised access.
We implement reasonable technical and organisational measures to protect learner data (site security, HTTPS, access controls, regular backups). However, no system is completely secure; we cannot guarantee absolute security.

f. Uploads and user-generated content

Any materials you upload (assignments, photos, forum posts) become part of your learner record. Do not upload sensitive personal data (special category data) unless explicitly required and only if you are comfortable with the storage and handling described here.
By posting content in forums or submitting materials, you grant Care Learning a non-exclusive licence to use that content to administer the course, display within the platform, and for internal quality improvement. We will not publicly publish personal data outside the platform without your consent.

g. Automated decision-making and profiling

The LearnDash platform may automate certain actions such as marking a quiz as complete based on rules, issuing certificates when course requirements are met, or sending automated course progress emails. These are not intended to produce legal effects or similarly significant outcomes beyond normal course administration. If any automated decision will have significant consequences for you, we will notify you and provide a means to request human review.

h. Cookies, tracking & analytics
